TRADER INFORMATION

General Event Information: 

Set Up Times: 

Traders will be given a setup time well in advance of any event, all traders are required to arrive within the allotted times given. This ensures that traders and vehicles can enter quickly and safely giving plenty of time for set up to take place prior to the event being opened up to the general public. We understand that sometimes delays occur, if you are running late or cannot make your allotted set up time, we request you contact us to inform us as soon as possible. Any late arrivals with no prior contact could result in refused entry,

Shut Down Times:

The trading hours of each event is clearly stated on all event information pages. Although we appreciate that sometimes towards the end of an event footfall can decrease, however, when events are advertised being open between specific hours we request that all traders are open and ready to trade throughout these times. Early packing up and leaving damages the appearance of an event and we request that no traders do this unless agreed prior with the company. In the case of unforeseen circumstances, should as bad weather, an early finishing time may be agreed with the organisers and the traders.  
Specific Plot/Position Requests: 

We understand that some traders attend events with friends/family and would like to trade next to them, we also understand that some traders may have medical conditions that we require them to be situated in close proximity to the car park, or toilet etc. Although we do try and be as accommodating as possible with this, it is not always possible. If you have any special requests in regards to positioning at an event, we request you let us know at least four weeks prior to event day. If any requests come in after the floor plans have been completed, we will be unable to move your position.

Stock/Product Details:

Prior to attending any events, traders are required to complete an application form, part of the application process includes explaining and describing what products it is you are looking to trade/sell. We request that you take the time to complete this thoroughly and correctly, as this is a large part of the process of selecting traders and is how we ensure we keep similar products/duplicates to a minimum. If you arrive with products different than what was stated on the application forms you may be asked to remove them from sale. We do this to ensure a fair trading environment for all traders. 

Pitch Fee/Booking Payments: 

Once your application forms are received they will be reviewed by our team and if space is available and we deem your offerings to be suitable to the event your booking will be confirmed and you will be issued an invoice. Once your invoice has been issued your position is reserved for 48 hours to allow you time to settle the fee. If after this time you have not paid the invoice, the position will become available and could be offered to another trader. 

The prices for the events are clearly stated prior to the application process, we kindly ask that if you are not in a position to pay the invoice should you be accepted that you refrain from applying until you are able to, this avoids a lot of wasted time on both sides. 

Trader No Shows:

We understand that sometimes things crop up and plans change, if for any reason you are no longer able to attend an event that you booked, all we ask is you let us know prior to event day, this allows us the chance to amend floor plans etc. Any traders that simply do not show up to an event without any prior contact will be refused booking onto any future events. 

Outdoor Event Information: 

Gazebos:

All outdoor traders must ensure that gazebos are of a commercial grade and suitable to be used in changing weather such as rain and strong winds. Your gazebo must be sufficiently weighted on all legs and have a minimum of four guy ropes, one attached to each corner unless advised otherwise by the organisers. This rules are to ensure the safety of the general public as well as the safety of your stock and other traders. 

All outdoor traders must be physically able to erect and set up their own gazebos, if you require assistance from someone else, please ensure you bring them with you. Although our staff will help where we can, we do not have the time on event days to set up gazebos for traders. 

Security:

On all outdoor multiday events we provide security overnight where trader stalls are permitted to be left in situ, however, we do advise traders to remove any valuable stock from their gazebos at shut down, if this is not possible we request that they are packed away and not easily visible. Although our security will always do their best to ensure nothing is tampered with, we cannot take responsibility for stock that is left on site during closed hours. 

Gazebo Sizes: 

On all event application forms there is a section for you to tell us the size of your gazebo/stall. We ask this information to ensure that you are allocated enough space to set up and trade from comfortably. If you arrive with a bigger gazebo/stall than stipulated on your application forms, you may be relocated to a different part of the venue, or if space is extremely tight, refused entry altogether.
